01Who we are

This Privacy Policy explains how Ovoras (Pty) Ltd, trading as Ovoras ("Ovoras", "we", "us" or "our"), collects, uses and protects personal information when you visit ovoras.com, create an Ovoras Workspace account, or otherwise engage us for digital design, marketing or systems work. This policy is written with the Protection of Personal Information Act, 2013 ("POPIA") in mind, the data protection law Ovoras (Pty) Ltd is registered under.

If anything in this policy is unclear, or you want to understand how it applies to your specific situation, contact us before sharing information with us.

02Information we collect

We collect different information depending on how you interact with us.

  • Account information. If you create an Ovoras Workspace account, we collect your name, email address, and password (securely handled by our authentication provider, never stored by us in plain text), along with optional details you choose to add such as a phone number, company name, and profile photo.
  • Project information. If you engage us for a project, we collect the business and project details you share with us so we can design, build and deliver the work, such as branding materials, content, and information about how your business operates.
  • Reviews and testimonials. If you submit a review through your Workspace account, we collect your rating, review text, optional company name, optional photos, and the service category the review relates to. Our Reviews Policy covers this in more detail.
  • Contact form submissions. Our contact form opens a message in your own email application addressed to us. We do not store the content of that message on our servers beyond receiving the resulting email.
  • Technical information. Like most websites, our hosting provider automatically logs standard technical information such as IP address, browser type, and pages visited, for security and operational purposes.
  • Notification tokens. If you opt in to notifications on the Workspace platform, we store a device token needed to deliver those notifications to you.

03How we use your information

We use the information we collect to:

  • Create and manage your Ovoras Workspace account.
  • Design, build, deliver and support the work you have engaged us for.
  • Respond to enquiries and communicate with you about your project or account.
  • Publish reviews you submit and choose to make public, in line with our Reviews Policy.
  • Send you service-related notifications you have opted in to.
  • Maintain the security and proper functioning of our website and platform.
  • Meet our legal and accounting obligations.

04Our legal basis for processing (POPIA)

Under POPIA, we process personal information on one or more of the following bases: your consent (for example, opting in to notifications or submitting a review), the performance of a contract with you (for example, delivering a project you have engaged us for), and our legitimate business interests (for example, keeping our platform secure, or reasonably promoting completed work as described below), always weighed against your own rights and interests.

05How we share your information

We do not sell personal information. We share information only where genuinely necessary:

  • Service providers. We use Google Firebase and Google Cloud Platform to host our website, manage accounts, store project and review data, and deliver notifications. These providers process information on our behalf, under their own security and data protection commitments.
  • Legal requirements. We may disclose information where required by law, or to protect the rights, property or safety of Ovoras, our clients, or others.
  • Business changes. If Ovoras were ever to merge with or be acquired by another company, information may transfer as part of that transaction, subject to the same protections described here.

06Portfolio and marketing use of client work

Part of how we grow Ovoras is by showing the real work we do. When you engage us for a project, and once that project is complete, we may feature the completed work, including your business name and branding, screenshots, descriptions and results, in our portfolio, on ovoras.com, in case studies, and on our social media and marketing channels.

We do this because it is how prospective clients judge whether our work is genuine, the same way the case studies already on our site name the real businesses we have built for. We do not disclose confidential, financial, or internal business information as part of this, only what is reasonably visible in, or fairly describes, the completed public-facing deliverable itself.

This is set out more fully, as a term you agree to, in our Terms of Service. If you would prefer Ovoras not to name your business in future promotional content, tell us in writing at any time and we will honour that going forward.

07Reviews and testimonials

If you submit a review through your Workspace account, it is moderated before publishing and, once approved, is displayed publicly on ovoras.com along with your name, company (if provided), rating, and any photos you attached. Reviews may also be referenced in our marketing. See our Reviews Policy for the full detail on how reviews are collected, moderated and used.

08How long we keep information

We keep personal information for as long as it is reasonably needed for the purpose it was collected, including for as long as you hold an Ovoras Workspace account, for as long as needed to support completed work, and for any additional period required by law (for example, financial record-keeping obligations). You can ask us to delete your account and associated personal information at any time, subject to information we are legally required to retain.

09Your rights

Under POPIA, you have the right to: know what personal information we hold about you; request access to it; ask us to correct or update it; ask us to delete it, where we are not legally required to keep it; object to certain processing; and lodge a complaint with the Information Regulator if you believe we have not handled your information properly. To exercise any of these rights, contact us using the details below.

10Security

We rely on the security infrastructure of Firebase and Google Cloud Platform, including encrypted data transmission, access-controlled databases, and authenticated accounts, to protect the information we hold. No system is completely immune to risk, but we take reasonable, industry-standard steps to keep your information secure and to limit access to it to what is genuinely needed.

11Cookies and similar technology

Our website currently uses only the technical, strictly necessary cookies and local storage needed to keep you signed in to your Workspace account and to remember basic preferences. We do not currently run third-party advertising or analytics tracking on ovoras.com. If this changes in the future, we will update this policy accordingly.

12Children's privacy

Our services are intended for business owners and representatives, not for children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will remove it.

13International data transfers

Because we use Google Firebase and Google Cloud Platform, some information may be processed or stored on servers in other countries. Where this happens, it is subject to Google's own security and data protection safeguards.

14Changes to this policy

We may update this Privacy Policy from time to time as our services or legal obligations change. The "Last updated" date at the top of this page reflects the most recent revision. Continuing to use our website or platform after an update means you accept the revised policy.

15Contact us

Ovoras's information officer for privacy matters is Aiden Kilian, founder of Ovoras. For any question, request, or concern about this policy or how your information is handled, contact us using the details below.
